3PL billing / revenue assurance

Find the billable warehouse work that never reaches the invoice.

Compare WMS activity with each customer's agreed rate card and invoiced charges. Produce reviewable evidence for missing fees, disputed rates and potential credits—before finance decides what to do.

CONTROL

Find variances, attach supporting records, and escalate contract ambiguity. Recovery amounts are not assumed collectible.

Where 3PL billing breaks

The warehouse did the work. The invoice tells a different story.

These are candidate control gaps, not claims of measured Sprint Zero recoveries.

CAPTURE GAP

Unbilled accessorials

Returns handling, labeling, kitting, relabeling and other value-added activities may require event-level reconciliation.

RATE GAP

Wrong contract application

Client minimums, storage tiers, escalation dates, exemptions and handling rates can be misapplied.

CONTROL GAP

Credits and disputes

Flag potential overcharges and missing evidence as carefully as missing revenue. Finance owns the final invoice decision.

How the audit works

Source-linked reconciliation, not a black-box recovery promise.

Customer-authorized exports can be enough to assess feasibility before requesting a live integration.

01

Ingest WMS activity and billing events

Receiving, storage snapshots, handling, pick/pack, shipping and optional value-added work.

02

Apply executed contract terms

Match period, account, rate schedule, units, minimums, tiers, exclusions and amendments.

03

Compare invoice lines and evidence

Deterministic matching identifies differences; AI may summarize contract clauses or exceptions subject to review.

04

Route candidate variances

Finance validates supporting records and makes the billing or credit decision. Unclear contracts trigger abstention.

Pilot design

One customer. One billing period. Known correct outcomes.

Suggested scope: review a limited historical period and no more than five fee categories, subject to data availability and written authorization.

Required evidence

  • Warehouse event/activity extract with stable identifiers
  • Executed rate card and amendments
  • Issued invoice lines and credit notes
  • Reviewed examples of known correct and incorrect charges
  • Finance owner to adjudicate flagged cases

What counts as success

  • Reconciled event-to-contract-to-invoice lineage
  • Low false-positive rate on sampled historical cases
  • Material variance flagged with an explanation
  • Review time measured against the manual method
  • No invoice changes without customer approval
Native feature check

Billing software may already have the answer.

Extensiv, Deposco and other 3PL systems provide native billing capture, rate management and invoicing tools. We first check whether configuration or vendor tools solve the problem more cheaply. An independent audit is appropriate only for a remaining cross-system, contractual or control gap.

Third-party product references are for category context, not endorsements or integration certifications.

Audit the gap before building the agent.

Start with sanitized activity, a signed rate schedule and recent invoices under an approved agreement.
