Small Business OS

Stop being the integration layer.

Small Business OS connects your inbox, POS, CRM, accounting and spreadsheets, one workflow at a time. Orders land clean, invoices go out, and the week's numbers reach you on Monday morning. The first workflow goes live in five working days.

Where money leaks between your tools

Most owners can name the leak in one sentence. It's the same few places in almost every business that takes orders.

  • Orders get re-typed.Phone, email, web and marketplace orders all land somewhere different, and someone copies them into the POS by hand.
  • Leads and quotes go quiet.A missed call never gets a callback. A quote sits unanswered and nobody follows up.
  • Finished work doesn't get billed right.Invoices go out late, or without the delivery fee, setup charge or change order that was agreed.
  • Nobody sees the whole week. The numbers exist in five tools, so the owner finds out what happened at month-end, or never.

Four modules. Start with the one that leaks most.

Each module is built on the tools you already use, such as Gmail or Outlook, Square, Toast or Shopify, QuickBooks or Xero, and your CRM. Anything customer-facing or financial waits for a person to approve it.

Order Inbox Autopilot

The order desk

Orders from email, phone, web forms and your POS become one clean record with the details checked. Conflicts, such as a double-booked delivery slot, are flagged before anyone confirms.

Revenue Recovery Engine

Missed calls, quotes and payments

Missed calls get a text back and a booking link. Stale quotes get a follow-up. Unpaid invoices get reminders. Every touch is logged in the CRM, so nothing depends on someone remembering.

Bill-Every-Job Workflow

Billing

Invoices are drafted from completed work and checked against the signed quote. Missing fees and mismatches are flagged before the invoice goes out.

A person approvesEvery invoice with a mismatch, and any credit or write-off.

Monday Morning Dashboard

The owner's view

One weekly view of orders, cash collected, open quotes and the leaks still open, in your inbox at 7 a.m. every Monday.

The 5-day sprint

Every module starts as one bounded workflow, delivered in five working days. The clock starts once access and the acceptance tests are agreed.

  1. Map

Walk through the workflow, its owner and its exceptions. Write the acceptance tests together.

  2. Connect

Set up access to up to two systems, with the permissions you approve.

  3. Build

Build the smallest complete version that does the whole job.

  4. Test

Run it on your past cases, including the messy ones, and test the manual fallback.

  5. Hand off

Demo against the tests, train the team and hand over the runbook.

What the sprint includes

About two hours of your time across the week. Everything else is on us.

  • Leak Map. A one-page picture of where orders, hours or dollars slip in this workflow.
  • The workflow, built and tested on a sample of your own past cases.
  • Exception inbox. Anything the system isn't sure about lands with a person, not a customer.
  • Starter Monday Morning Dashboard for the workflow we built.
  • Runbook and a 30-minute team handoff, so you're not dependent on us.
  • 30 days of tuning after launch.

Pass, or we keep working.

Before we build, we write the acceptance tests with you. If the workflow doesn't pass them, we keep working at no charge until it does.

How you start

Each step is useful on its own, and every fee is credited to the next one. Prices are on the pricing page.

  1. Free leak check

A 20-minute call, then a one-page leak map within 48 hours. If nothing is worth fixing, we say so.

  2. 5-day sprint

One workflow, up to two systems, fixed price, tested against your acceptance tests.

  3. Small Business OS

Three or four modules plus the dashboard, built over six to eight weeks.

  4. Ops Care

Monitoring, tuning and one small change each cycle, billed every four weeks.

Is this a fit?

A good fit if

  • Orders or requests arrive in more than one place
  • Someone re-types or chases the same information every week
  • You can name the person who owns the process
  • Your tools have an API, an export or an email trail we can work with

Not a fit if

  • You're looking to replace your ERP or CRM wholesale
  • Nobody owns the process today
  • The decision should never be automated, such as regulated or high-risk calls
  • The workflow happens a few times a month and costs little

Questions owners ask

We tried software before and nobody used it.

That's why we build inside the tools your team already uses: the inbox, the POS, the spreadsheet. Training is part of the sprint, and the handoff includes a written runbook.

Our data is a mess.

Most is. Cleaning the records that one workflow depends on is part of the sprint. A full data cleanup is a separate, quoted project.

I don't have time for a project.

Plan on about two hours across five working days: a kickoff, a review of the tests, and the Friday handoff.

What if the AI sends a customer something wrong?

It can't send anything you haven't approved. Customer-facing messages use templates you sign off on, and anything outside them goes to a person first.

Will we be stuck with you?

No. Accounts are in your name, the workflows are documented, and nothing runs on a platform we own. Ops Care is optional and month to month.

Is it worth it?

That's what the free leak check answers. We size the leak in hours or dollars before you spend anything, and we'll tell you if it isn't worth fixing.
